Policies & Procedures
Please review all information listed on your Banquet Event order (REQUEST FOR QUOTE/ORDER) for accuracy. If there are any corrections or changes that need to be made, please do so directly on the form and email it back for revision. Please return a signed copy of your order for confirmation. Service will not be rendered without a signed copy of your banquet check.
All orders need to be placed and confirmed a minimum of three (3) working days in advance (business permitting) for self-serve drop offs and two weeks in advance for served/buffet meals. Any events or changes made inside of this time frame will be subject to additional charges.
Guarantees/Cancellation
Guaranteed number of guests will need to be received no later than 5 business days out. If no guarantee is received, the original estimate will become the final guarantee. If guarantee changes by more than 10%, a 20% service charge will be applied to the additional number of guests.
All events will need to be placed and confirmed by email. CONFIRMATION FROM SODEXHO, INCLUDING PRICE QUOTE AND MENU SELECTION, WILL BE SENT BY EMAIL WITHIN ONE BUSINESS DAY. Client will assume responsibility for ensuring access to location a minimum of 90 minutes prior to service. Client will also be responsible for any set-up requirements such as tables and chairs prior to Sodexo Caterings arrival.
Length of service will range from 2 hours for served and buffet meals, to three hours for self-serve events. If the event runs over, or Sodexo Catering is unable to retrieve equipment after 3 hours on self-serve events, additional charges may be applied. At all self-serve events, client accepts full responsibility for the safekeeping and use of equipment during the duration of their event. If equipment is lost or damaged, client will be responsible for the cost associated with replacement or repair.
Payment for University Events
For all events sponsored by the University, a copy of the purchase order must be submitted to Sodexo within three days after the confirmed quote is received by the customer. Failure to provide a purchase order will result in cancellation of Sodexo services.
Service fee of $20.00 will be applied to any event (other than self-serve) under 25 people. Beverages are not based on consumption. All beverage sales are final.
